What Is a Podcast Transcript File?
A podcast transcript file is a text version of an episode, usually with timestamps and speaker names, that a podcast app can display in sync with the audio.
There are two kinds you will deal with. Auto-generated transcripts are made by the platform from your audio; Apple Podcasts and Spotify both produce them, and YouTube produces automatic captions. Provided transcripts are files you create and supply, usually WebVTT (.vtt) or SubRip (.srt). Apps read them from your RSS feed through the <podcast:transcript> tag or from an upload in the platform's dashboard. A third copy, plain text on your own episode page, is the one search engines can read as a web page.
Why the text matters beyond accessibility: we covered the evidence in why podcast transcripts may matter more to AI than the audio, and why audio alone is a weak basis for search in does podcast audio get indexed. This guide is the how-to.
How to Add Transcripts to Your Podcast at a Glance
| Step | Action | Expected result |
|---|---|---|
| 1 | Check the auto-generated transcripts Apple and Spotify already make | You know which episodes have transcripts and how accurate they are |
| 2 | Create a timed transcript file (VTT preferred, SRT accepted) with speaker names | One corrected .vtt file per episode |
| 3 | Host the file and add <podcast:transcript> to the episode in your RSS feed | The feed links each episode to its transcript |
| 4 | Set Apple Podcasts Connect to display your transcripts | Apple shows “Provided by <Show Name>” instead of “Automatically generated” |
| 5 | Review, replace or distribute transcripts in Spotify for Creators | Your file shows in Spotify, if your show is eligible |
| 6 | Add captions to the video version on YouTube | Captions listed under Subtitles in YouTube Studio |
| 7 | Publish the transcript as text on the episode page of your website | A crawlable page carrying the full text |
Time: 30–60 minutes per episode to correct a machine transcript, plus a one-time setup per platform (our estimate). Tools: a transcription tool or service that exports VTT or SRT, your podcast host, Apple Podcasts Connect, Spotify for Creators, YouTube Studio, your website CMS. Cost: the platforms charge nothing for transcripts; transcription tools vary. Skill level: beginner if your host supports transcripts; intermediate if you edit the RSS feed yourself.
What You Need Before Starting
- A podcast already listed on the platforms you care about. If not, start with how to submit a podcast to Apple, Spotify and YouTube.
- Access to Apple Podcasts Connect, Spotify for Creators and YouTube Studio for the show.
- A podcast host that supports transcripts, or the ability to edit your RSS feed. Apple keeps a directory of hosting providers where you can check transcript support.
- The correct spelling of every host's and guest's name.
- An episode page on your own website for each episode.
Step 1: Check the Transcripts Apple and Spotify Already Generate
Open a recent episode in Apple Podcasts Connect and in Spotify for Creators and read the transcript each platform has made. You may already have transcripts on both without doing anything.
Apple Podcasts (Transcripts on Apple Podcasts): Apple “automatically generates transcripts after a new episode is published”, with a short processing delay. As of October 2026, Apple lists transcripts for English, Danish, Dutch, Finnish, French, German, Italian, Norwegian, Portuguese, Spanish and Swedish, on iOS 17.4 or later, in over 170 countries and regions. Apple does not display segments changed by dynamically inserted audio, does not show music lyrics, and says episodes over 10 hours may not be transcribed. Episodes in private feeds that are not distributed to the Apple Podcasts catalog get no transcript display. Transcripts are available to download in Apple Podcasts Connect.
Spotify (Managing episode transcripts on Spotify): “Some shows have auto-generated episode transcripts.” Spotify says transcripts “aren't available to all creators” and are not in the Spotify for Creators mobile app. To view one: log in to creators.spotify.com, go to Episodes, select an episode, click Details, find Transcript and click View.
Expected result: a list of episodes with and without transcripts, and a sense of error rates. Common mistake: leaving host and guest names out of episode descriptions. Apple recommends including them “to ensure accurate spelling of these names in the transcript.”
Step 2: Create a Timed Transcript File With Speaker Names
Create a WebVTT file for each episode, with timestamps and speaker labels, and proofread it against the audio. Correcting an auto-generated transcript is fine; Apple lets you download its transcript from Apple Podcasts Connect, and Spotify lets you download a VTT file from Spotify for Creators.
Why VTT: Apple accepts VTT or SRT, and its RSS guide says Apple “will prefer VTT format over SRT format if multiple instances are included” (A Podcaster's Guide to RSS). Apple also says a VTT file “allows you to identify every speaker with each line”, and shows the speaker name whenever it changes. The Podcasting 2.0 transcript guidance calls WebVTT “an ideal choice if you can only support one format” (Podcast Index transcript formats). Spotify uploads accept VTT or SRT, and YouTube accepts both.
Number of file formats listed in each platform’s help pages, read October 10, 2026
Sources: YouTube Help, Supported subtitle and closed caption files; Apple Podcasts for Creators, Transcripts on Apple Podcasts; Spotify for Creators Help, Managing episode transcripts on Spotify.
YouTube’s figure counts the entries in its basic, advanced and broadcast tables; Cheetah appears twice, as ASCII and binary. VTT and SRT are the only formats all three accept.
In WebVTT, a speaker name goes in a <v> voice tag at the start of a cue:
WEBVTT
00:00:00.000 --> 00:00:04.500
<v Jane Host>Welcome back. My guest today runs a logistics firm.
00:00:04.500 --> 00:00:08.000
<v Sam Guest>Thanks for having me.
Quality rules: Apple says provided transcripts must be “free of spelling and punctuation errors” and include all segments of the episode, and that files which do not meet its quality standards “will not be displayed.” The Podcast Index guidance recommends a maximum line length of 65 characters for VTT. Spotify's limit is 5MB per file, and it says to include timestamps, “otherwise your transcript won't sync during playback.”
Expected result: one proofread .vtt file per episode. How to verify: open it in a text editor; the first line reads WEBVTT and every cue has a start and end time. Common mistake: exporting a transcript with no timestamps, which neither Apple's nor Spotify's player can sync.
Step 3: Add the podcast:transcript Tag to Your RSS Feed
Upload the transcript file to a public URL (a host that supports transcripts may do this when you attach one to an episode) and add a <podcast:transcript> tag inside that episode's <item>. This is how Apple ingests transcripts you provide for public episodes: “we will ingest them via your RSS feed using the RSS transcript tag” (Apple).
The tag, as defined in the Podcasting 2.0 namespace specification:
- Parent:
<item>. Multiple tags are allowed, one per format. url(required): the transcript file's URL. The namespace says any URL it specifies must usehttps:, nothttp:.type(required): the MIME type, such astext/vtt,application/x-subrip,text/html,text/plainorapplication/json.language(optional): defaults to the feed's<language>.rel="captions"(optional): marks the file as closed captions with time codes.
<rss version="2.0"
xmlns:itunes="http://www.itunes.com/dtds/podcast-1.0.dtd"
xmlns:podcast="https://podcastindex.org/namespace/1.0">
...
<item>
<title>Episode title</title>
...
<podcast:transcript url="https://example.com/ep42/transcript.vtt" type="text/vtt" />
<podcast:transcript url="https://example.com/ep42/transcript.html" type="text/html" />
</item>
Apple's rules for the tag: “A valid type attribute is required”, and Apple accepts text/vtt, application/srt and application/x-subrip. You must declare the Podcast namespace in the <rss> element; Apple says that without the declaration it “ignores all tags specific to Apple Podcasts or the Podcast namespace.” An HTML or plain-text transcript can sit alongside the VTT for other apps, but those types are not on Apple's accepted list.
Expected result: each episode in the feed carries a transcript tag. How to verify: open your feed URL, find the episode, and open the transcript URL in a browser; it should load without a login. The Podcast Index guidance adds that browser-based players need CORS headers on the transcript file. Common mistake: a wrong type value (for example text/srt), which falls outside Apple's accepted list. In our check of 52 real feeds, only 10 declared transcripts with this tag.
Step 4: Set Apple Podcasts Connect to Display Your Transcripts
Change the transcript setting in Apple Podcasts Connect so Apple shows your file instead of its own. Adding the RSS tag is not enough on its own: Apple says to “be sure to update the episode settings to ‘Display transcripts I provide.’”
For the whole show: change the transcript setting in the Availability tab on your show page in Apple Podcasts Connect. For one episode, per Apple:
- In Apple Podcasts Connect, select the episode.
- In the Audio and Transcripts section, select the episode media to update.
- Click Edit.
- On the Episode Transcript Availability screen, choose “Use a custom setting for this episode.”
- Confirm the transcript setting and click Save.
Subscriber episodes (Apple Podcasts Subscriptions) are different: Apple says you can upload the VTT or SRT file directly in Apple Podcasts Connect.
Expected result: after Apple refreshes your feed, the transcript in the Apple Podcasts app shows “Provided by <Show Name>”; Apple's own transcripts are labelled “Automatically generated”. How to verify: check the episode's Audio and Transcripts section in Apple Podcasts Connect for warnings, and open the episode in the Apple Podcasts app. Common mistake: turning transcripts off entirely. Apple warns that without them “your show will not be accessible to some audiences like users that are deaf or hard of hearing.”
Step 5: Review or Replace Transcripts in Spotify for Creators
Download Spotify's transcript, correct it, and upload the corrected file in Spotify for Creators, if your show is eligible for transcripts. Spotify says you “can't edit transcripts directly in Spotify for Creators.”
Process (Spotify): log in to creators.spotify.com, go to Episodes, select an episode and click Details, find Transcripts and click Edit, click Download to get a VTT file, edit it, then choose Upload transcript, select the file and click Save. Files must be VTT or SRT and no larger than 5MB.
Other Spotify settings documented on the same page:
- Turn transcripts on or off per episode (“Display a transcript for this episode”) or for the whole show under Settings (“Display transcripts on Spotify”).
- Turn translated transcripts on or off (“Allow transcript translation”), where available.
- Share Spotify's transcripts with other apps through your RSS feed: Settings, Transcripts, “Distribute transcripts across other platforms via RSS”.
Expected result: your corrected transcript displays in the Now Playing view and on episode pages in the Spotify mobile app. Common mistake: re-enabling auto-generated transcripts after uploading your own. Spotify says an uploaded transcript “will be replaced if you enable auto-generated ones.” Spotify also notes that depending on your podcast host, you may not be able to sync transcripts; its help page does not say whether it reads the <podcast:transcript> tag from an external feed.
Step 6: Add Captions to Your Video Podcast on YouTube
Upload your transcript file as captions in YouTube Studio for each video episode, or review the automatic captions YouTube created. YouTube's caption help describes adding captions in YouTube Studio; it does not mention the RSS transcript tag.
Process (YouTube Help, Add subtitles & captions): sign in to YouTube Studio, select Subtitles in the left menu, select the video, click Add language and choose the language, then under “Subtitles” click Add. Choose Upload file, pick “With timing” for a VTT or SRT file and select Continue, then choose the file and select Save. YouTube's supported formats include SubRip (.srt) and WebVTT (.vtt); for SRT, YouTube says the file “must be in plain UTF-8”.
Automatic captions: YouTube can create captions with speech recognition, but says quality “may vary” and that creators should “always review automatic captions” (Use automatic captioning). Reasons it lists for no automatic captions include an unsupported language, a video that is too long, poor sound, a long silence at the start, and overlapping speakers.
Expected result: your language listed under Subtitles for the video. Common mistake: using Auto-sync (pasting untimed text) for a full episode. YouTube says transcripts for auto-sync “are not recommended for videos that are over an hour long or have poor audio quality”; upload a timed file instead.
Step 7: Publish the Transcript as Text on Your Episode Page
Paste the full, corrected transcript as HTML text on the episode's page on your own website, under the player. In-app transcripts live inside Apple's, Spotify's and YouTube's apps; the episode page is the copy you control and the one web search engines crawl as a page.
Why: Google's technical requirements say a page needs indexable content, meaning “textual content” in a supported file type (Google Search technical requirements), and Google's guidance on AI features advises “making sure that important content is available in textual form” (Google, AI features and your website). Bing's guidelines say images and video should not be “the sole source of information” and list captions and transcripts among what to provide (Bing Webmaster Guidelines).
How: put the transcript in the HTML itself, not only in a downloadable file or a script-loaded widget; keep speaker names and occasional timestamps; and make sure the page is not blocked by robots.txt or noindex. You can also link the page from the feed with a second <podcast:transcript type="text/html"> tag. Our review of twenty episode pages found readable text ranging from 276 to 53,552 words, and one show's entire domain closed to every compliant crawler by robots.txt.
Expected result: an episode page whose source contains the transcript text. How to verify: view the page source and search for a sentence from the middle of the episode; then test the URL with Google Search Console's URL Inspection tool. Common mistake: hosting transcripts on a subdomain or path disallowed in robots.txt, which keeps compliant crawlers from reading them.
How to Verify It Worked
- RSS: the episode's
<item>contains<podcast:transcript>with anhttpsURL and an acceptedtype, and the namespace is declared in<rss>. - Apple: the episode shows no warning in the Audio and Transcripts section of Apple Podcasts Connect, and the app shows “Provided by <Show Name>”. For new episodes Apple says to allow at least 24 hours.
- Spotify: Episodes, Details, Transcript, View shows your corrected text.
- YouTube: Studio, Subtitles lists your language as published for the video.
- Website: the transcript text is in the page source, and URL Inspection reports the page can be indexed.
How to Choose a Transcript Method
| Situation | Recommended method | Why |
|---|---|---|
| No time to edit transcripts | Keep Apple's and Spotify's auto-generated transcripts on; publish a lightly edited text version on your site | Platforms generate them for free; the web page still needs its own text |
| Names, brands or jargon are being mis-transcribed | Provide your own VTT through the RSS tag and set Apple to “Display transcripts I provide” | Your file replaces the machine version and is attributed to your show |
| Show hosted on Spotify for Creators | Edit in Spotify, then turn on “Distribute transcripts across other platforms via RSS” | One corrected file reaches other apps through the feed |
| Host does not support transcripts and you cannot edit the feed | Link the transcript in the show notes and publish it on your site | Listeners can still reach the text; Apple recommends a show-notes link when it cannot display a transcript in your language |
| Subscriber-only episodes on Apple | Upload VTT or SRT in Apple Podcasts Connect | Apple documents direct upload for subscriber episodes |
| Video podcast on YouTube | Upload the same VTT or SRT as captions “With timing” | YouTube accepts both formats; auto-sync is not recommended over an hour |
| Language Apple does not support | Link the transcript in the episode notes | Apple's own advice for unsupported languages |
Common Problems and Fixes
| Problem | Likely cause | Fix |
|---|---|---|
| Apple shows no transcript for a new episode | Still processing | Apple says to wait at least 24 hours after publishing |
| Apple ignores your transcript tag | Episode still set to Apple's transcripts, missing namespace, or invalid type | Choose “Display transcripts I provide”; declare the namespace; use text/vtt |
| Your file is not displayed on Apple | Fails Apple's quality standards | Fix spelling and punctuation; cover every segment of the episode |
| Apple transcript missing for some listeners | Explicit episode with content restrictions on, or iOS older than 17.4 | Check the explicit setting is correct; nothing to fix on the listener side |
| Parts of the episode missing from Apple's transcript | Dynamically inserted audio changed since transcription, or music lyrics | Expected behaviour per Apple |
| Poor auto-transcription | Cross-talk, loud music or low audio quality | Improve recording; provide your own file |
| Spotify upload doesn't sync | File has no timestamps, or host limitation | Upload a timed VTT or SRT; Spotify notes some hosts can't sync |
| Your Spotify upload disappeared | Auto-generated transcripts re-enabled | Leave auto-generation off for that episode and re-upload |
| No YouTube automatic captions | Unsupported language, very long video, poor sound or overlapping speech | Upload a timed caption file |
| Website transcript not indexed | Text loaded by script, page blocked by robots.txt, or noindex | Put text in the HTML; unblock the page; inspect it in Search Console |
What Not to Do
- Do not publish an unedited machine transcript as your own. Consequence: Apple may not display files that fail its quality standards, and misspelled names stay attached to your show. Correction: proofread names and terms before uploading.
- Do not rely on in-app transcripts for web search. Consequence: the text lives inside Apple's, Spotify's and YouTube's apps, not on a page you control. Correction: publish the transcript on your episode page.
- Do not hide the transcript behind a download, login or script. Consequence: crawlers may not see the text. Correction: put it in the page HTML.
- Do not use untimed text where sync is expected. Consequence: Spotify says transcripts without timestamps won't sync. Correction: export VTT or SRT with timestamps.
- Do not switch transcripts off to avoid errors. Consequence: Apple says your show becomes inaccessible to some deaf or hard-of-hearing listeners. Correction: supply a corrected file instead.
- Do not expect a ranking boost from the transcript tag. Consequence: misplaced effort. Apple, Spotify and YouTube describe transcripts as an accessibility and listening feature; none of the pages we read claims a discovery or ranking benefit. Correction: treat the website copy as your search asset.
Frequently Asked Questions
Does Apple Podcasts make transcripts automatically?
Yes. Apple says it automatically generates transcripts after a new episode is published, for supported languages, with a short processing delay. It recommends allowing at least 24 hours before troubleshooting a missing transcript.
Can I upload a transcript file directly to Apple Podcasts Connect?
Only for subscriber episodes. For public episodes, Apple ingests your own transcripts through the podcast:transcript tag in your RSS feed, and you set the episode to display transcripts you provide.
Which transcript format should I use for podcasts?
WebVTT. Apple prefers VTT over SRT when both are listed and uses VTT speaker labels, Spotify and YouTube accept VTT uploads, and the Podcast Index guidance calls it the ideal choice if you can only support one format.
Does Spotify read the podcast:transcript tag from my RSS feed?
Spotify’s help page does not say. It documents auto-generated transcripts, VTT or SRT uploads in Spotify for Creators for eligible shows, and an option to distribute Spotify’s transcripts to other platforms through RSS.
Which languages does Apple Podcasts transcribe?
As of October 2026, Apple lists English, Danish, Dutch, Finnish, French, German, Italian, Norwegian, Portuguese, Spanish and Swedish. For other languages, Apple suggests linking the transcript in the episode notes.
Why is part of my episode missing from the Apple transcript?
Apple does not display segments changed by dynamically inserted audio since the original transcription, and it does not display music lyrics.
Do podcast transcripts help my show rank in Apple or Spotify search?
Neither Apple nor Spotify documents a search or ranking benefit from transcripts; both describe them as a listening and accessibility feature. The search value is in publishing the text on your own website.
Can I use the same file for YouTube captions?
Yes. YouTube lists both SubRip (.srt) and WebVTT (.vtt) among supported caption formats. Upload it in YouTube Studio under Subtitles and choose the With timing option.
Should the transcript on my website be the full episode?
Publishing the full text in the page HTML gives search engines the most to read. Keep speaker names, correct names and terms, and make sure the page is not blocked by robots.txt or noindex.

This guide is built from Apple Podcasts for Creators and Apple Podcasts Connect help, the Podcasting 2.0 namespace specification on GitHub, Spotify for Creators help, YouTube Help, and Google and Bing search documentation, read on October 7, 2026. Apple's RSS guide, Spotify's help page and YouTube's help pages were read in a browser because they load with JavaScript. We did not upload transcripts to any platform for this guide; interface labels are quoted from the platforms' help pages and can change.
