The booking process, start to finish.

Here is exactly how a campaign runs, what we need from you, and what you get back. No surprises once you are underway.

Complete your intake form

Every campaign begins with a detailed questionnaire. This gives us what we need to present you professionally and match you with the right hosts.

What you provide

  • Full name and title
  • Company name
  • Website
  • LinkedIn and socials
  • Previous media appearances
  • Areas of expertise
  • Topics you want to discuss
  • Your view of the industry
  • Trends or insights you can speak to
  • Professional headshot
The more complete your information, the stronger your positioning with hosts.

We build your guest profile

We create a polished one-page media sheet designed specifically for podcast outreach.

Your profile includes

  • Professional biography
  • Areas of expertise
  • Suggested interview topics
  • Company information and social links
  • Professional image
  • Previous media experience, when applicable
This is the document producers review before deciding whether to invite you on.
3

Matching, then human outreach

Your information is analyzed to identify podcasts that match your expertise, audience, and industry. Then we get on the phones and in the inboxes.

  • We personally contact hosts and producers
  • Your media sheet is presented for review
  • Each host decides whether to approve or decline
Worth knowing. Whether you are invited on is an editorial decision made entirely by each podcast. We can get you in front of the right shows. We cannot make a host say yes.
4

Review your approvals

As hosts approve your appearance, we send each opportunity straight to you.

Every approval includes

  • Podcast name
  • Host notes
  • Estimated audience and listenership
  • Booking link
  • Any additional scheduling information

You choose your interview times directly with the host using their booking calendar.

Book promptly. Once a booking link is sent, schedule it quickly. Slots move, and an unclaimed approval can lapse.

10 to 15 minutes

Before your interview

Many podcasts schedule a brief pre-interview before recording. Not every show does this, but plenty do.

The host will usually

  • Introduce themselves
  • Review your background
  • Discuss possible talking points
  • Explain the interview format
  • Answer any questions before recording
6
15 to 45 minutes

Record your episode

Think of it as a conversation rather than a presentation.

For the strongest interview

  • Let the host guide the conversation
  • Answer clearly and concisely
  • Avoid long monologues
  • Keep answers shorter so the host can ask deeper follow-ups
Shorter answers create better episodes. They give the host room to dig, and that is what makes a conversation worth listening to.
7
Usually 2 to 4 weeks

Publication

After recording, your episode enters the host's publishing schedule. Every show runs on its own production timeline.

Episodes typically distribute to

  • Apple Podcasts
  • Spotify
  • YouTube
  • Amazon Music
  • iHeartRadio
  • Other platforms and social channels
Distribution varies by show. We tell you where each episode is going before you record.
8

Your short-form clips

Once your episode is live, we cut it into social-ready video clips.

You typically receive

  • 10 to 20 professionally edited short-form clips
  • Vertical formats for LinkedIn, Instagram, TikTok, Facebook, YouTube Shorts, and X
  • Organized delivery through Dropbox
This is where a single interview keeps paying. One recording becomes months of content you can post.
